- Buyer to create Sales Order in XES once order is confirmed by dealer.
- Sales order to be stored at “X:\Wholesale 2\02 Sales Order\02 Outright\2019”
- Buyer to update Operation & Acc Dept for any order placed by Dealer

ASANA New Task Creation
- Buyer to create new task on Asana https://app.asana/Outright Sales (Wicked Wave) for every new arrangement. Insert the Dealer’s name and registered code
- In Asana, all tasks step were listed down in sequence accordingly, leave your remark once done.
- Buyer to create new task and copy all the steps to each task. Refer to the below screenshot
Pick & pack, documentation
- Warehouse to transfer stocks to WH-RS (Warehouse Reserve) shall stocks are not being released at the same time as the other locations. How to transfer stocks to WH-RS, click here
- Warehouse to pack stock, scan every item and generate Delivery Order (D/O) document.
- WH Manager to ensure that the packed stocks are correct as requested. How to verify wholesale stock, Click here
- WH Manager to E-mail the D/O number to Buying, Finance and Operation Dept. Notify if any change in item packed, i.e. changes in item number, colour, size, etc.
- Buyer to finalize Sales Order, check and verify the RSP & Wholesale Price as some of the articles are might be in the Promotion Range which has different Trade Margin or Wholesales price.
Invoice & Payment
Payment collection will be depending on the agreed Trade Terms between the company and the Dealer. Therefore Acc. & Finance Dept. to refer to agreement accordingly when requesting for payment.
- For new stock, Ms. Arina to generate Outright Invoice based on the created D/O and E-mail the signed digital copy of the invoice to Dealer, cc Buyer.
- For stock on hand (SOH) Ms. Arina to E-mail the invoice to Buyer. Buyer to collect deposit/full payment first before delivery.
- Payment request will be subject to agreed Trade Terms between the company and the Dealer.
- Acc & Finance to notify Buyer shall payment has been received or if any other outstanding payment before Warehouse to proceed with delivering the stock.
- Once payment is cleared up, Buyer to notify Warehouse that stocks are ready for delivery.
- The invoice hardcopy would be attached together with D/O during the stock delivery time.
- Dealer to notify Buyer shall there is any stock discrepancy, and notify Acc. & Finance Dept. and Warehouse Department for their further action.
- Acc. & Finance Dept to submit SOA to Dealer after 30 days shall there is any outstanding payment balance
Stock Delivery
- Warehouse Dept to arrange stock delivery accordingly, once payment has been received which would be notified by Buyer.
- Warehouse to notify all parties via E-mail and update Asana once delivery has been done and submit the acknowledged received copy of D/O to Ms. Arina.
Termination of Brand or Customer
- Management or PIC will notify account dept. for termination of customer.
- Management need to provide
- i) Customer detail (ii) customer name (iii) brand (iv) effective dated (v) stock return date.

No. 02 should be complete in general Stock/Container Arrive
AFTER No. 06 Account/Finance(Arina) should email Invoice & Deposit Receipt (Future Order). to Dealer and CC Buyer. Once Complete jump to No.9
No.7 (SOH Order) – Account/Finance(Arina) email Buyer Invoice for collecting deposit/Full Payment before stock delivery. Complete continue No.08
Hard copy invoice should be pass to Dealer together with DO when Stock Delivery.
Any discrepancy should be done in Credit Note to account dept
Hi KT,
1) I’ve restructured the SOP based on my understanding. Check above.
2) I wont include “should be complete in general Stock/Container Arrive” because by hook or crook, the stock will be much safe to be transfer first to WH_RS, making it a habit as according to my years of experience in here, wholesales stock will be always sent out the following week, which means stocks for shop has been delivered so replenishment would take the Wholesales qty by Monday if packing and documentation wasnt done yet. Wholesales stock will be scan, so it will take more times.
3. Basically there will only be 2 payment terms, regardless of if the stocks are new or SOH. It’s either 30 days or advance deposit, right? So i just make it general. let me know if it’s correct.
